Prepare a clear purchase order
- Enter the buyer, supplier and your order reference. Choose the currency used in your agreement.
- Add item descriptions, quantities and unit prices. Optional item codes and units help distinguish products.
- Add the delivery location, requested date and any agreed terms. Preview, then prepare and inspect the actual PDF page by page.
The fictional example orders ten reams at INR 250, with a 10% discount and illustrative 18% tax, plus an untaxed INR 100 delivery charge. The order total is INR 2,755. Replace the example rates and details yourself.
Precise totals and currency choices
All monetary currencies and fund codes in the shared ISO registry are available through search. Amounts use the selected currency’s zero to four decimal places. Currency selection does not exchange money. Quantity × price is rounded half up first, then the line discount, then tax. Tax-inclusive prices separate tax using rate ÷ (100 + rate); exclusive prices add tax using rate ÷ 100. Totals sum the rounded lines. Your required rounding method may differ.
Limits and recovery
Use up to 30 items, quantities up to one million with three decimal places, unit prices up to one billion currency units, and discount/tax percentages from 0 to 100 with two decimal places. The order total and entered amounts are capped at one trillion. PDF output supports A4 or Letter and at most 20 pages. Every item needs a description; units and codes are optional. Delivery cannot precede the order date. Add delivery costs as an item; this tool does not calculate shipping rates.
Item removal, reordering, duplication, examples, clearing and draft restoration have one Undo step. Typing starts a new edit and clears Undo. Edited inputs immediately invalidate previous previews and downloads. PDF generation runs in a local worker, can be cancelled and times out after 30 seconds. Rejected or cancelled backups preserve current entries and available exports. Restore times out after 30 seconds and is stopped when entries change.
Privacy and use
The document stays in your browser until you download or explicitly save a draft. Saved drafts are unencrypted in this browser profile; avoid saving sensitive details on shared devices. Downloaded backups contain the information you entered. CSV text beginning with formula characters is prefixed with an apostrophe for safer spreadsheet opening.
A prepared purchase order does not prove supplier acceptance, goods receipt, payment or internal approval. No signature, automatic dispatch, inventory system or legal/tax compliance validation is included. Check your organisation’s terms before sharing. For one organisation’s reference policy, see DWP’s purchase-order reference guidance; its requirements are not universal.
