Record a received payment
- Enter the recipient and payer, a receipt number you maintain yourself, and the payment received date.
- Describe the goods, services or payment purpose. Enter the amount actually received, currency, method and any transaction or invoice reference.
- Select full payment, partial payment or deposit according to your records. Preview and review, then download PDF or text.
The example is fictional. Replace every detail with a real transaction. This tool formats your entries; it does not check a bank account, accept money, confirm settlement or send receipts.
Payment receipt, invoice and quotation
A receipt records a received payment. An invoice bills work and can request payment; a quotation describes proposed prices and terms. Full/partial/deposit is your declaration, not an automatic calculation. This receipt covers one payment only and does not calculate outstanding balances or cumulative payments. A cheque or pending transfer may not yet be settled; verify your records yourself.
Australian government receipt guidance illustrates useful transaction details and local requirements. Requirements vary by place and transaction. This general payment acknowledgment does not guarantee legal, tax-invoice, GST/VAT, reimbursement or proof-of-purchase acceptance. Include any required registration and itemization details and use the appropriate document for your circumstances.
Amounts, dates and limits
Money follows the selected currency’s ISO decimal precision (zero to four decimals), based on SIX currency precision data reviewed 10 October 2026. Amount must be greater than zero and at most one trillion currency units, entered as a plain decimal. Exact integer minor units preserve the entered amount; no rounding, exchange-rate conversion, tax extraction or amount-in-words conversion is performed. Refunds and zero-payment acknowledgments are outside this template.
Payment date is required; optional sale/supply date is separate because deposits can precede supply. Both must be real Gregorian dates, years 0001–9999. Purpose and notes support 2,000 characters each; other limits are shown beside inputs. PDF paginates up to 20 pages. No logo, automatic numbering ledger, signature verification or connection to another document’s saved draft.
Local privacy and exports
Inputs and PDF generation stay in your browser and local worker. Save stores an unencrypted receipt draft in this browser profile only, separately from career, invoice and quotation drafts. Clear form keeps the saved receipt and offers one Undo step. Delete saved draft removes only the saved copy. JSON backups let you continue on another device; rejected or cancelled restores preserve current entries and available exports. Avoid storing sensitive transaction details on shared devices. Browser autofill/restoration can retain entries independently; downloaded files remain under your control.
Built-in PDF fonts support Western European text. Unsupported characters cause an explicit error; TXT preserves original Unicode and native printing uses fonts available to your browser. Browser printing can differ from generated PDF in layout and pagination. Review the document before issuing it.
Does choosing full payment confirm an invoice is settled?
No. It states your declaration for the receipt. Check the underlying invoice and all payment records yourself; this tool has no accounting ledger.
Can I save a draft before completing the receipt?
Yes. Save accepts bounded incomplete entries. Preview and exports require the recipient, payer, receipt number, payment date, purpose, method and a positive valid amount.
